CLIENT SERVICES DIRECTOR
(PART-TIME)
about the position:
This position’s primary goal is to ensure a positive customer experience at all times for our clients. This goal is achieved by supervising our bookkeeping team and guaranteeing all client tasks have been flawlessly executed.
The Client Services Director (CSD) is also responsible for onboarding all new clients, including drafting and sending contracts and performing administrative duties to assist with bookkeeping project management. The CSD is also responsible for offboarding clients when they terminate our services.
This person is responsible for onboarding new clients into our software platforms, communicating and reviewing project briefs and scopes with bookkeepers, scheduling and conducting onboarding calls with the new clients, and maintaining client usernames and passwords.
This position reports directly to the Founder, while also working closely with key employees, contractors and all members of the team. This position requires working Monday – Friday, primarily from home, but there are several times a year when we may meet in person.
Also, because our work is tax centered, there may be a few times per year where there will be a need to work additional hours on evenings and weekends to meet tax deadlines.
DUTIES AND RESPONSIBILITIES
ONBOARDING CALLS:
Onboarding calls are a key component to our customer experience. During these calls you will:
- Introduce the client to their personal bookkeeper Review scope of work, timelines, and anticipated schedules for deliverables
- Focus on client education so our customers are prepared to work with their bookkeeper(s) efficiently, understand the “Who’s Who” of the Good Cents team, and best practices for communication
- Set up + test online access to client’s bank, software applications and other financial institutions.
- Update GCB’s password management software with all usernames and password
- Populate project management tool with recurring bookkeeping task
SUPERVISE BOOKKEEPERS & DELIVERABLES
- Ensure bookkeepers are sending client’s monthly reports each and every month
- Follow up with bookkeepers by the 17th of the month if reports have not been sent
- Act as a liaison when clients are unresponsive to bookkeeper regarding open issues or providing information needed to fulfill our bookkeeping tasks
- Coordinate with clients about the loss of online banking access or any technical issues which are required to perform our duties. Resolve any issues expeditiously.
- Work with the Founder & Executive Assistant at the end of the year to confirm all clients receive their Digital Tax Package
- Offboarding clients when they disengage from our services
DOCUMENTING PROCESSES & SYSTEMS:
- Create and maintain SOPs and training documents for any client/bookkeeper software platforms
- Review client records in our project management tool to make sure bookkeepers have active and updated client procedures outlined in detail
- Suggesting and creating new documents and systems when there is a need
- Maintaining and updating How To documents for online banking access including submitting new copy to graphic designer, and managing creation and or updating of document
SKILLS & ABILITIES
The ideal candidate possesses the following strengths and skills:
- 3 – 5 years of experience working with a professional services firm, accounting preferred
- A passion and aptitude for technology including problem solving, troubleshooting, and being an “early adopter”
- You have the ability to use: Google Calendar & G Suite, Zoom. Experience with TeamWork and/or QuickBooks Online a +
- A strong ability to manage multiple responsibilities daily
- A cheerful, helpful disposition – working with people’s money is delicate so it’s crucial our Client Services Director be 100% driven by a powerful and positive client experience
- The ability to speak up when projects aren’t working according to schedule and redirect/recalibrate the team to ensure GCB provides deliverables with excellence
- You’re a thinker and a doer. You don’t need to be told what to do — you’re innovative, resourceful, and able to anticipate what needs to get done. And you know when to ask for help.
- You must be a self-starter with the ability to be productive from your home office.

ABOUT OUR HIRING PROCESS
All resumes will be reviewed and candidates will be contacted for a brief phone interview. Second interviews will be held in person and full background checks will be completed. Final candidates will be invited to work on a per diem basis for 1-2 weeks to make sure skill and personality set are a fit for our office. Signing a confidentiality and non-compete agreement are required prior to hiring.
